DAY ONE - March 5, 2012

We examine the types of events in your company or organisation and the variety of events your company or organisations can use in the future. How these are arranged into the portfolio of events and the reason for promoting some events and not others is explored. An important consideration is the reason for the events in the first place and whether an event should continue, change or a new event should take its place. The second part of the day introduces the fundamental tools and techniques of project management.

DAY TWO - March 6, 2012


Many of your decisions concern what the event will need, how to obtain it and dealing with the suppliers. There are all sorts of problems you face with events and on this day we apply the new ISO 31000 in risk management to your event management. It is essential for the modern event management team to understand risk as it has become the legal standard around the world. The problems in events are numerous and tend to get repeated.

The cost/ quality/time relationship is found throughout the event planning and implementation. Today we deal with the finance. Sourcing finance, creating the budget, sponsorship ,ticket sales and merchandise are examined. The overall cost benefit analysis (CBA) of the event and the time based breakeven point are demonstrated and discussed. Sponsorship is always a hot topic and this will be examined with copious examples.

Ultimately the event has to be delivered. All the preparation and the planning comes to fruition on the day of the event. Small details that were overlooked in the preparation can result in disasters on the day of the event. The event creates the value for the organisation. Good logistics and operations are vital. All the elements of the event come together in its staging. We end the workshop with a demonstration on how all the work over the four days is integrated into an event management system.

William O'Toole CFEE, BSc, MEng

Your presenter has trained many thousands of event managers and teams around the world. Over the last eight years he has worked in Kingdom of Saudi Arabia developing their tourism events. They now have huge festivals conferences exhibitions and other events in the thirteen provinces (www.scta.gov.sa). As well William developed the events forums in Dubai, Uganda and Kenya to help kick start the events industry in those countries. He worked for the UN in Khartoum and the EU in Jordan assisting those countries with events. In 2011 William worked with Deloitte Touche to process map the events of the multilateral Islamic Development bank to improve their work practices and create an event system.

William has authored three international textbooks in events management. Festival and Special Event Management in its fifth edition and translated into Chinese and Portuguese; Corporate Event Project Management translated into Indonesian, Korean and Chinese; and the latest in 2011, a manual for governments and companies to develop their events portfolio, Events Feasibility and Development (ww.eventsfd.com). His CDROM EPMS (www.epms.net) is used around the world, from China to USA, to help event managers.

In 1999 William created the Event Management Body of Knowledge (EMBOK.org) that has now grown into the International Competency Standard for Event Management released in 2010. He is a member of the International Festivals and Events Association and was the keynote speaker at their last convention in St Louis, USA.

William has over 25 years of experience organising events ranging from festivals to corporate parties and conferences. He still does - when he gets the time.

We are now in preparations to hold the first ever International Golf Marathon, which will be held on December 9, 2011 at Club Intramuros in Manila, Philippines.

Instead of the usual 18 holes golf tournament (that takes almost the whole day anyway), participants will be playing 36 (minimum), 54, or 72 holes in one day! Because of the unique concept of this tournament, the event promises to attract much buzz and attention.

Different golf groups have already expressed their excitement over the event and we expect more to join the bandwagon. (Some are in disbelief that 54 or 72 holes can be played in one day, but with the Club Intramuros' night golf, it is possible to play from morning to night.)

What is the scoring format?

The scoring format is Stableford/Molave, in which the object of the game is to get the highest score. In Stableford, golfers are awarded points based on their scores in relation to a fixed score at each hole. The fixed score in the tournament is BOGEY.

More than 2 over fixed score or TRIPLE BOGEY or worse - 1 point

Fixed score or BOGEY - 2 points

One under fixed score or PAR - 3 points

Two under fixed score or BIRDIE - 4 points

Three under fixed score or EAGLE/HOLE-IN-ONE - 5 points

Four under fixed score or DOUBLE EAGLE - 6 points

How will I be even able to finish 54, or even 72 holes?

Because of the Stableford format wherein players must pick up their balls when playing triple bogey, the estimated time to finish 36 holes is 3 to 3. 5 hours. That is why our schedule is as follows:

First round: 6AM

Second round: 10AM

Third round: 2PM

Fourth round: 6PM


There will be a shotgun start for each round.

The tournament will be held at Club Intramuros, which is the oldest golf course in the country. Because Club Intramuros has night golf, you can enjoy doing 72 holes from dawn till dusk.
